Privacy Policy

Paymentsnow ("we", "us", "our") provides cheque printing, mailing and payment-funding services to Canadian businesses. This policy explains what personal information we collect, why, and how we protect it, in keeping with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

Information we collect

• Account & contact details — your name, business name, address, email and phone number.
• Banking details — the bank account(s) you use to print cheques from and to fund your account (institution, transit and account number). We verify ownership with a small micro-deposit.
• Payment instructions — payee names, amounts, cheque numbers and mailing addresses you submit or import.
• Connected-service data — if you connect QuickBooks Online, the vendor, bank and transaction data needed to import cheques.
• Usage & security data — sign-in events, IP address and audit logs needed to operate the service securely.

How we use it

We use your information only to deliver the service you ask for: verifying your bank account, printing and mailing your cheques, funding your account by pre-authorized debit (PAD) or Interac e-Transfer, verifying mailing addresses, producing your reports and receipts, and providing support. We do not sell your personal information.

Service providers

We share the minimum information necessary with trusted providers who help us deliver the service, under contract and only for that purpose:

• Bank-account verification and Interac e-Transfer funding (our payments technology provider);
• Pre-authorized debit / EFT processing (our payment processor);
• Address verification (Canada Post);
• Accounting integration (Intuit QuickBooks Online), only when you connect it;
• Print and mail carriers used to deliver your cheques.

How we protect it

• Traffic is encrypted in transit (TLS).
• Passwords are stored only as one-way hashes — never in plain text.
• Sensitive bank account numbers are encrypted at rest.
• Access is protected by mandatory two-factor authentication and role-based controls, and administrative actions are recorded in an append-only audit log.

Retention

We keep cheque, funding and pre-authorized-debit records for as long as needed to provide the service and to meet legal, tax and Payments Canada record-keeping obligations, after which they are securely disposed of.

You may ask to access or correct the personal information we hold about you, or ask questions about this policy, by contacting us below. We use only the cookies essential to signing in and operating the service.
